Privacy Policy
Last updated: 26 October 2026
GEM Lubricants operates this informational website for dealers, workshops and other business enquiries in Ernakulam and Thrissur, Keralam. We explain below how information may be handled when you use the website or contact us.
Information collected
When you choose to contact us by WhatsApp, telephone or email, you may share your name, phone number, business name, product requirements and message.
Enquiries sent through the website. The website contact form has two separate buttons. "Send via WhatsApp" only prepares a WhatsApp message; you decide whether to send it in WhatsApp, and the website does not receive it. "Send by Email" submits your enquiry from the website to us: if you use it, we collect the name, phone number, optional email address, enquiry type, product or subject and message you enter, together with the page it was sent from and the date and time of submission. The product enquiry on the Products section works through WhatsApp only.
To limit spam and duplicate submissions, the website's server also keeps short-lived technical records, such as a scrambled (hashed) form of your network address and a scrambled fingerprint of a submission. These records do not contain your enquiry text.
Our hosting provider may process routine technical information, such as IP addresses, browser details and request records, to deliver and secure the website. Third-party providers may also receive technical information when their content is requested.
How we use information
We use business enquiries to respond to questions about products, availability, supply and dealer services; communicate about a request; and maintain necessary records of genuine business dealings. Enquiries sent by email are delivered to our business mailbox, where authorised GEM Lubricants personnel review them. We may use AI-assisted tools to categorise, summarise and prioritise enquiries in that mailbox. Any reply to you is sent by authorised personnel after review; we do not send automatic AI replies. Contacting us does not automatically enrol you in promotional messages. If our practices change, we will update this notice.
Third-party services
- WhatsApp: Opening a WhatsApp link takes you to a service operated by Meta. Messages you send are handled through that service and may remain in business chat history.
- Google Maps: We do not load the embedded interactive map unless you choose to enable it. Using the external Google Maps link sends you to Google directly.
- Google Fonts: Font resources may be loaded from Google to display the site design. The request may include your IP address and basic device/browser information.
- 3D web libraries: Some website animation code can be requested from third-party content-delivery networks. These may receive normal network request information.
- Hosting and email: Hostinger and relevant infrastructure vendors deliver website pages and may hold technical or security logs. Enquiries sent by email are delivered through Hostinger Mail to our business mailbox.
- AI-assisted tools: Tools connected to our business mailbox may process the content of enquiry emails so that we can categorise, summarise and prioritise them.
Cookies, local storage and analytics
We use browser local storage to remember your choices for embedded Google Maps and optional Google Analytics 4. Google Analytics does not load unless you actively allow analytics, and you may withdraw that choice through Cookie settings. If enabled, Analytics may receive technical usage information, page views and limited interaction events such as WhatsApp, telephone, email and dealer or product-enquiry clicks, and whether an emailed enquiry was accepted or failed. We do not include enquiry message text, customer names, phone numbers or email addresses in our custom analytics events. Analytics cookies or identifiers may be set by Google after consent. Google's own data policies and our Analytics property settings govern data processed through that service. Some third-party services you open may use their own cookies or technologies. See our Cookie Policy.
Sharing and cross-business enquiries
Information you send through WhatsApp, email or telephone reaches the contact channel you choose. Our service providers, including our website and email host and the AI-assisted tools described above, may process information to provide those services. ARK Enterprises operates a separate website and publishes its own privacy information; choosing to contact ARK directly is not an enquiry to GEM Lubricants, and vice versa. Business enquiries may also become part of ordinary business or accounting records where appropriate.
How long information is kept
There is currently no fixed, published automatic deletion schedule for enquiries. Messages and legitimate business records may remain in WhatsApp, email, phone records or business systems while relevant to the enquiry, a business relationship or legal/accounting requirements. We review reasonable requests to delete or correct information, subject to records that must be retained by law. We cannot delete information held independently by external providers solely through a request to us.
Your privacy requests
You may contact us regarding your enquiry information: to ask what information we have, to request correction or deletion where applicable, or to raise a concern. Send your request to sales@gemlubricants.co.in. We may need to verify that the request relates to you before taking action. Rights and response obligations are subject to the law in force at the time of the request.
Security
We take reasonable steps to limit access to business communications and protect our website, but no website, email or messaging provider can guarantee complete security. Please do not send bank passwords, OTPs, payment-card details or other sensitive information through the website enquiry channel.
